Welcome to Virtual EMS (VEMS)
 Drake University's online room scheduling system
VEMS streamlines the room requesting process

 

 

In order to access any features on VEMS - browse space availability, browse events across campus, look up room set-ups and capacities, view photos of certain spaces, request spaces, edit reservations, and more any time day or night you will need to have a VEMS account and appropriate request settings. 

Create An Account

Creating an account is simple.
1.  Go to “My Home” and click the “Request An Account” button.
2.  You will be asked for the following information:
        •  Enter your Drake email address.  Only @drake.edu emails will be accepted.
        •  Enter your full name, phone number, and select Central Time Zone
        •  Select your affiliation to Drake, AND your department or Registered Student Organization (RSO).  NOTE:  No abbreviations or acronyms
3.  Click on “Request An Account”.
4.  Once have requested an account, the Office of Conference & Event Services staff will be notified of your account request and will assign your account permissions based on your affiliation with Drake (within 3 business days).
5.  When that process is complete, you will receive an approval email to your Drake email address.  You will not be able to access VEMS or request space until you receive this approval email.

NOTE TO STUDENTS:
If you are not listed as the president or the VEMS coordinator for your RSO on the RSO Google Doc, then you will only be assigned a browse account, this will allow you to browse space, but not request the use of space. Requests for space will need to go through your RSO president and/or RSO VEMS Coordinator.



Log-In Instructions
If you already have a VEMS account, you will be able to log-in with the Single Sign-On (SSO).
This can be done in one of 2 ways:
1.  In the upper right-hand corner click on WELCOME, GUEST and click the “Sign In”.  If you are already signed in via the SSO system it will take you right into VEMS.  If not, fill-in your Drake email address and Drake password.
2.  Go to “My Home” and click the “Sign-On” button. If you are already signed in via the SSO system it will take you right into VEMS.  If not, fill-in your Drake email address and Drake password.

 

If you do not have a VEMS account you will get a failure to authenticate error. If this happens go the "My Home" and click "Request An Account" and follow the directions under Create An Account.


NOTE:
 If you are unable to log-in with your Drake email address and Drake password, please contact the Office of Conference & Event Services at [email protected].

 If your account is inactive, please contact the Office of Conference & Event Services at [email protected] AND include your name, phone number, Drake email address, Drake ID number, affiliation to Drake, and the Organization/Department you are associated with on Drake's campus (no abbreviations or acronyms).
